APPLICATION GUIDELINES
FOR CLUBSIDE HOMEOWNER PROJECTS

ARB/ARC meetings are held on the second Monday of the month. No meeting in August.

Applications must include all required provisions no later than noon on the Monday prior to the monthly meeting.

INCOMPLETE APPLICATIONS WILL NOT BE REVIEWED



The following bullet points are intended to simplify your understanding of the ARB/ARC application submission process. They are not intended to replace the existing Guidelines, which you accepted at your property closing.

  • You are responsible for understanding the project guidelines before submitting an application. The guidelines can be found on the website in the Community Pages Tab - within the application, there is a link. Or in the Resources tab – ARB Standards & Forms- Documents.
  • The application link is found under Community Pages tab on the HOA Home Page.
  • All application information, documentation, photos, etc., are required to be eligible for consideration, provided they are received no later than 12 noon on the Monday prior to the next ARB/ARC meeting.
  • Only applications marked ‘Under Review’ will be considered at the next ARB/ARC meeting.
  • Application Status – This can be checked by logging into your account on the Access Management website referenced above.
  • Project materials (paint, pavers, tiles) – must be onsite and visible for review on the day of the Committee meeting. This includes materials that are the same as the existing materials, such as paint, roof tiles, etc.
  • All projects must receive ARB/ARC written approval prior to commencement.
  • Building Permits for approved projects must be posted and visible from the street.
  • Amendment applications must be submitted if changes are made to the originally approved project.
  • Projects started without written approval are in violation of compliance and are subject to fines and/or removal by the Compliance Review Committee.
  • Projects cannot be expedited for any reason.
  • Individual ARB/ARC members cannot approve projects other than at monthly meetings.
  • The ARB/ARC is comprised of seven volunteer Oaks Clubside members.
  • ARB/ARC is directed by HOA standards set forth by Florida State Statute #720.
